The Art of Follow-up

I belong to several forums for Virtual Assistants and often times I see inquiries about getting clients.  Several newbies stated that they do not know where to begin, however it is not how to begin but how to continue the relationship.  Finding new prospects is easy, forming relationships with them is where the work needs to be done.  I am not an introvert by any means and it is easy for me to enter a discussion with anyone but that is not enough.  Here are a few steps that I take after meeting new people, prospects or not.

Send a “Great to Meet You” note.  Notice I say note.  We get way too many emails so think outside the box and send them something the good ole fashion way.  I send a card with a note that says glad to meet you at the event and for them to let me know who their ideal client is so I can keep a lookout in my referral network.  If they are true prospects I also add a let’s get together for coffee.

Check their social media accounts.  Join their networks however do not just sent a generic “add me to your network” message.  Personalize it with “Great to meet you at [event name].  I thought it would be nice to add you to my circle.  I am looking to getting to know you and your business better.

Send en email.  After the first two suggestions I send an email with a great business tip or general information I find helpful.  I also ask permission to add to my email list so that I can share useful resources with them.

Greet them at the next event.  When you see them at the next event be sure to greet them and have a brief conversation to see where they are since your last meet.

These are just four steps that you can take to start cultivating your relationship.  Remember not every contact will be a prospect but they can be a referrer so treat everyone equally in your art of follow-up.

Here I go again, again.

Ultimate Blog Challenge 2012So today kicks off my participation in the Ultimate Blog Challenge, 31 days for blogging.  I decided on this as a way to hold myself accountable while I get my blog back on track.  Before I started, I looked at everything I was doing that was holding me back and how I could fix it.

I discovered that I write too wordy of articles and this makes it a chore to keep them coming.  So I decided to write at least 100-150 words per day. If i write more that is okay but I will settle for short and sweet tidbits.  Also, being the organizer I am,  I also tried to have a set topic schedule.  That is going to change to as I am now going to write on random information, things I find useful and just plain interesting stuff.  Some may be business, some not.

Hope that you enjoy my musings, find some great tips or just something to make you smile each day.

I’m so shy that it is painful.

ShyWell not exactly.  As my family would say, I will walk in to a room and know everyone before I leave.  I have been blessed with an outgoing personality and better yet a passion to listen.  My husband often teases me that I do not need to know someone’s life story when I meet them.  Yes I do!   That is the reason that my circle is never stagnant.  That is also the reason that I continue to build my referral network.

Don’t you see that by knowing the story you will be able to help them better.  My crazy dog helps me build camaraderie with pet lovers. My passion for moving and the real estate market helps me build relationships with others who are moving, remodeling or selling their homes.  My love of food and wine connects with everyone.

Concentrating on SEO should not be like pulling teeth

I have decided for my 2nd quarter goals to concentrate on SEO for My Office Assistant.  My goal is to see if I can up my organic search rank for the keywords that I have chosen.   The reason that I chose this goal is because I want to see where I rank by using tips and tricks learned along the way without having to launch a pay per click campaign.  I also took into account that 75%  of people click on the organic search results in comparison to 25% for paid results.

Now to understand where I am going you need to realize that Google ranks based on relevance and authority.  The relevance part if pretty straight forward, you type in the search term and Google returns a result based on matching of the term.  I have decided to try out some long-tail keywords or phrases that I believe my people will want.  Now for the authority or the measure of how important Google feels your page is.  Google calls the weight of the authority the PageRank and it is based on the theory of academic paper rankings.  The rank of academic paper is given based on other papers that cite or reference it.  So my goal is to incorporate simple tactics to define my page authority.

As part of my initial site audit I will also pay attention to my purpose because in order to know what I want to achieve I need to have clear goals or a path to get there.  With this in mind, a Statement of Purpose is the first step on my list before I move on to keywords and phrases to incorporate.  Why you ask, because without the definition of where I am going I will not be able to choose the right words to get me there.

I will also be evaluating the content on my site.  In order to sync everything up I really need to be sure that my message is being conveyed properly.  To do this step I have asked several trusted colleagues to review a page or pages on my site to see if they are receiving the message I feel that I am sending.  I have also asked them to pick out a few key phrases or words that stand out to them.

Now the fun begins, I started out by checking my website grade using website.grader.com.  My current grade is 76, and with that you receive a report giving suggestions on what you are doing right and what can be improved on.  This is where I will start, by taking all the suggestions and creating solutions for them.  This is also how I will determine if my efforts are paying off once I progress through my journey.   With my initial evaluation and audit it will help me choose tags, titles and strategies to easily make changes to the areas in which I am lacking.

Is Your Inbox Full?

Recently it seems I am getting more and more inquiries from clients to help them shape up their email in-box.  I was a little shocked that a few had more than 100,000 messages in the in-box, half of which were not read.  So this got me thinking about how many of you are in the same boat?  Here are a couple tips to help you whittle down your messages and make your email more manageable.

  1. Delete anything that is unread and over 6 months old.  Most of those will be old news or frankly, not important enough for you to leave sit there this long.  Get rid of them, now!
  2. Look at your unread subscriptions. Now go and unsubscribed to them.  I know, you may find them useful later.  But really now, how have they been working for you so far.  While this is a time consuming task, it will save you in the long run.
  3. Set up folders. For clients, marketing and anything important.  Also set up a read later and delegated.  Now move your messages (read or unread) into the proper folders so that you can go through them based on what is most important.
  4. Take action now. Not tomorrow or next week, that is what got you here in the first place.  If you need it save it somewhere (like your folder).  If it needs to be handled, do so or delegate it.  If it is junk or just not needed, delete it.
  5. Use one email for all your subscriptions. Many of us have multiple email addresses and this will keep you from subscribing under every one of them.  It will also allow you set up a rule to automatically move those to a designated folder when they land in your in-box.
  6. Ask friends to take you off their chain lists. Yes we all have them, prayer chains, jokes of the day, cute and clever items.  If you let your friends know that you really do not read them or participate, they may stop.  This will also keep others from harvesting your name off the forwarded messages.

Virtual Events: Tips for Presenting, Moderating & Attending

My Office Assistant virtual events

I was fortunate to be interviewed to discuss my knowledge on Virtual Events.  Thanks to Darlene Victoria of  True Harmony Media for again having me on A Virtual Perception.  We tackled all subjects from what is a virtual event to best practices for presenters, moderators and attendees.  If you missed it, catch it here.

In the meantime, here are five great tips for delivering your presentation.

  1. Have a defined purpose. Why are you presenting and what is the goal you want to achieve?  Are you trying to persuade, inform or entertain your audience?
  2. Have a storyboard or mapped process. You are telling a story so set it up as such.  I always begin with point A “What challenge do I face?”, point B “Where do I want to be?” and the all important call to action “How do I get from Point A to B?”.
  3. Spice it up.  Add some drama using anecdotes, stories and the all important captivating visuals.
  4. Practice, Practice and then Rehearse.  The more you review and rehearse the more natural it will be to you.  Do not turn off your audience by reading your notes, or worse yet, being ill prepared.
  5. Deliver with Style. Deliver as you were in front of a room of 100.  It is possible that you are, they are just not visible to you.  Present as if your office were filled to the gills with folks and they can see every movement and expression that you make.

When presenting your own event, visualize it as you would a packed house speaking engagement.  Even though we cannot see you, we can hear you as if we could.  Next up, the role of the moderator.
